These terms and conditions outline the rules and regulations for the use of Miku Retreats's Website, located at https://mikuretreats.com.

By accessing this website, we assume you accept these terms and conditions. Do not continue to use Miku Retreats if you do not agree to take all of the terms and conditions stated on this page.

Terms and Conditions for Miku Retreats:

1. Introduction

These Terms and Conditions form a legally binding agreement between the organisers of the retreat event ("we," "us," "our") and the participants ("you," "your"). By registering for and attending the retreat event, you agree to comply with and be bound by these Terms and Conditions.

2. Booking and Payment

2.1 Booking Process

To secure a place at the Retreat, you must complete the online registration form and pay the required deposit. Your booking will be confirmed once we receive your payment and send you a booking confirmation. We accept the following payment methods: cash, credit/debit card and bank transfer. All cash and electronic payments must be made in Euros.

2.2 Payment Schedule

If you are booking prior to the 1st October 2025, a 30% non-refundable deposit will be required to confirm your registration. A second non-refundable instalment of 30% of your overall booking costs will become due on this date.

Registrations received on or after the 1st October will require both instalments to be paid to confirm your booking. For each of these payment options, a ‘cooling off’ period of 14 days will apply, during which you may cancel for any reason, with full refund of your deposit/s.

The remaining balance must be paid no later than 30th April 2026. If the full payment is not received by the due date, we reserve the right to cancel your booking and retain both deposits.

Thereafter, the cancellation terms below will apply.

3. Cancellation and Refunds

3.1 Cancellation by You

If you need to cancel your booking, you must tell us in writing. A refund of your deposit/s will only be possible if a cancellation notice is received by us within 14 days of confirmation of payment. We endeavour to process any refunds to you within 10 working days.

Once the final balance is paid, no refund of any costs will be due to you.

3.2 Cancellation by Us

In the unlikely event that we need to cancel the Retreat, we will notify you as soon as possible and offer you a full refund of all payments made. We will not be liable for any additional expenses or damages incurred as a result of the cancellation and no compensation will be due for any other reason.

3.3 Travel Insurance

Miku Retreats recommends that all participants purchase a suitable travel insurance policy if they don’t already have one.

4. Changes to the Event

4.1 Changes by You

If you wish to make any changes to your booking, you must notify us in writing. We will do our best to accommodate your request, but we cannot guarantee that changes will be possible. Any additional costs incurred by us as a result of the changes will be your responsibility.

4.2 Changes by Us

We reserve the right to make changes to the event schedule or activities if necessary and we will notify you of these changes as soon as possible.

4.2.1 Itinerary Changes

The itinerary is subject to change at the discretion of Miku Retreats. Please note that we cannot guarantee the viewing of the total solar eclipse, either in its entirety nor partially. The event organisers will keep you informed of predicted weather conditions on the evening of the eclipse, as well as any changes in the planned activities. Such changes are classed as minor and will not be grounds for cancellation.

4.2.2 Pricing Changes

Retreat prices are based on costs in effect at the time of posting. In the very unlikely event that extra costs are incurred by Miku Retreats in order to fulfil their Retreat obligations, a small surcharge may be levied, which we will advise as soon as possible.

5. Travel and Accommodation

5.1 Travel Arrangements

You are responsible for making your own travel arrangements to and from the retreat event. We are not responsible for any travel-related delays or cancellations.

5.2 Accommodation

Accommodation at Son Rullan is included in the retreat package. We will provide you with further details of the property upon confirmation of your booking. If you have any special requests or requirements, please notify us at the time of booking.

7. Liability

7.1 Our Liability

We are responsible for providing the retreat event with reasonable skill and care. However, we are not liable for any personal injury, illness, or loss/damage to personal property that occurs during the event, except if caused by our negligence. 7.2 Your Liability

You are responsible for your own actions and behaviour during the retreat event. You agree to indemnify us against any claims, damages, or expenses arising from your breach of these Terms and Conditions.

8. Code of Conduct

You are expected to conduct yourself in a respectful and considerate manner during the retreat event. Any behaviour that we consider to be disruptive, abusive, or harmful to others will not be tolerated and may result in your removal from the event without refund.

9. Photography and Filming

We may take occasional photographs and videos during the retreat event for promotional and archival purposes. By attending the event, you consent to being photographed and filmed. If you do not wish to be included in any promotional material, please notify us in writing. Photographs and videos taken by you or other participants are for personal use only. Should you wish to use your images for any other non-profit purpose, you agree to seek prior permission from the event organiser. Permission will be at the organiser’s discretion. Such images will not be permitted to be sold or otherwise distributed to third parties.

10. Data Protection

We will collect and process your personal data in accordance with our Data Privacy Policy. By registering for the Retreat event, you consent to the collection and use of your personal data as described in the Data Privacy Policy. (link to the page)

11. Force Majeure

We are not liable for any failure or delay in performing our obligations under these Terms and Conditions if such failure or delay is caused by events beyond our reasonable control, including but not limited to natural disasters, war, civil unrest, or government actions.

12. Governing Law and Jurisdiction

These Terms and Conditions are governed by and construed in accordance with the laws of the Balearic Islands/Spain. Any disputes arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Mallorca.
